Maestro Health is growing rapidly and we are looking for a key person to support our office through this rapid expansion. The Receptionist will have a challenging and unique position managing all aspects of office operations, and assisting other departments where and when necessary. To be successful in this role, you must demonstrate initiative, drive, the ability to effectively multi-task, and a willingness to cheerfully roll up your sleeves and do whatever needs to be done to facilitate the company’s growth and success. Your daily responsibilities include but are not limited to:

  • Manage the front reception area, office visitor calendar, and support a HIPAA-compliant visitor tracking process

  • Work with team members to plan, coordinate & execute visits to the Charlotte office

  • Manage conference room bookings, luncheons, and other key reservations; manage all vendors, presentation logistics, decorations, setup/takedown, etc.

  • Maintain all areas of the office, making sure it is always clean and sharp

  • Be the primary contact with building management and all related functions

  • Assist Marketing with the deployment of local communications, campaigns, events, including shipping responsibilities

  • Assist in planning and coordinating company-wide initiatives and events, helping to create a common and consistent Maestro Health experience company-wide

  • Ensure conference rooms are prepared for all meetings, both pre and post meeting

  • Order office supplies and manage the inventory effectively and efficiently

  • Research and participate in various events, office initiatives and special projects

  • Assist in ad hoc projects like helping to organize, collate and fulfill media bags


  • When clients and visitors come, they comment positively on the look and feel of the office

  • You understand the business and are able to explain to visitors what we do effectively

  • No one has to ask twice to get something done, and they are amazed that you have already thought two steps ahead

  • You anticipate the team’s needs and always make sure that executives have confirmed meetings

  • You are adaptable and resourceful, able to handle anything that crosses your desk. You make complex things seem simple.

  • You are hyper organized, capable of handling multiple projects at once, self-motivated, proactive, driven and own the role

  • Experience supporting a fast moving, high growth environment as a receptionist or executive assistant

  • Professional experience working with senior level executives within and outside the company as well as clients, vendors and visitors

  • High level of proficiency in grammar, spelling, punctuation and excellent oral communication skills

  • High functioning skills with MS Word, Excel and PowerPoint as well as composing a number of types of professional documents

  • Able to be poised under pressure with a wide variety of individuals, and be able to handle difficult personalities with tact and diplomacy

  • Able to handle information of highly confidential and critical nature with trust and discretion

  • Good interpersonal skills, discretion, good judgment, organizational and management ability, initiative and the ability to work independently
